How to run your day without an executive assistant

Last updated October 11, 2026

Pally does the assistant part in your texts, for free. It sends a morning brief from your calendar, email, Slack, and WhatsApp, flags urgent messages and open promises, and handles the replies, bookings, and calls you hand it.

Run the day itself from one calendar and one short action list: choose the work that must move, batch incoming communication, and leave time between meetings for decisions and notes. The system works when it tells you what to do next without constant sorting. A ten-minute closing review should capture loose promises, move unfinished work, and prepare the first task for tomorrow.

A practical approach

What to do

  1. Build one daily brief

Before work, collect today's meetings, deadlines, urgent messages, and open promises in one note. Keep only items that can change what you do today, and add the prep or travel time the calendar leaves out. If the note grows into a project inventory, cut it back.

  2. Choose three outcomes

Name the few results that would make the day count, and block time for them on the calendar. Write outcomes such as “send revised proposal,” not categories such as “sales.” When an urgent request appears, decide which planned outcome it replaces.

  3. Batch communication

Pick two or three windows a day for email, Slack, and WhatsApp. In each window, answer quick items, turn longer work into dated tasks, and archive the rest. Name the few senders and topics allowed to interrupt you, so batching never delays an emergency or a high-value lead.

  4. Close the day

Spend ten minutes checking finished work, promises made in messages or calls, and tomorrow's calendar. Move unfinished tasks on purpose, add missing prep time, and write the first concrete action for the morning. Skipping this review moves the sorting to tomorrow, when it costs more attention.

Questions

Frequently asked questions

How long should daily planning take?

Keep the opening brief and closing review short enough to repeat every workday. If planning regularly takes longer than the work block it protects, reduce the number of sources and fields.

What should interrupt a focus block?

Define a narrow list such as a production incident, a same-day customer problem, or a qualified lead with a short response window. Route everything else to the next communication batch.

When is this system no longer enough?

Consider human help when scheduling requires negotiation, many people need coordination, or sensitive judgment and relationship management consume a large share of the week.
